Privacy Policy

AdaptBuild (“we”, “AdaptBuild”, “the Service”) is a construction-management product operated by Adaptensor, Inc. This policy explains what we collect, why, how we handle it, and the rights you have over your data.

1. Data we collect

  • Account data: name, email, mobile phone number (optional), organization, role. Provided by you or your employer when you’re invited.
  • Project content: cards, daily reports, RFIs, punch items, safety observations and incidents, change orders, schedules, budgets, photos, voice recordings, video clips, signed documents, and related metadata (GPS, timestamps, device info).
  • Location (GPS) data: when your organization enables GPS tracking, AdaptBuild attaches GPS coordinates to e-signatures (via AdaptDoc), photo attachments, daily reports, inspections, and safety observations. This is used to evidence the location of field events for compliance, insurance, and audit purposes. GPS is opt-in per organization and can be disabled by the organization owner at any time.
  • Voice recordings and transcripts: when you use the voice capture feature, audio is recorded, stored in Vercel Blob, and transcribed to text (via Anthropic and / or Google Gemini, depending on modality) so it can be turned into structured card content. Recordings and transcripts are retained per the retention schedule in Section 5.
  • Usage data: pages viewed, features used, API calls, error reports. We use this to keep the Service reliable.
  • HR bridge data (AdaptDay): employee directory, certifications, time-attendance, incident logs. Payroll is intentionally excluded.
  • Financial bridge data (AdaptBooks): cost codes, invoices, vendor records for job-cost reporting.
  • SMS consent record: if you opt in to SMS, we store the timestamp, IP address, user-agent string, and the exact consent-disclosure language shown to you at the moment you opted in, as required by 10DLC carrier compliance.

2. Why we collect it

  • Operate the Service, route work to the right people, and keep a legal record of field events.
  • Generate AI-assisted drafts of safety, daily, and RFI content (human review required for safety-critical output).
  • Sync with adjacent Adaptensor products (AdaptVault, AdaptDoc, AdaptBooks, AdaptDay) that you connect.
  • Meet audit, insurance, and compliance requirements your organization is subject to.

3. Who sees it

Inside your organization, data is gated by project role (Project Manager, Superintendent, Foreman, Field Tech, Subcontractor, Client Rep, Architect/Engineer, Viewer). Outside your organization, we never sell or rent your data. We share data only with:

  • Sub-processors we need to run the Service (listed below).
  • Parties you share with (e.g. a sub receiving a sub-portal invite, a client receiving a signed daily report).
  • Law enforcement when legally compelled.

4. Sub-processors

  • Clerk — authentication and user identity.
  • Neon — managed PostgreSQL database for account, project, and card content.
  • Vercel — application hosting and Vercel Blob storage for photos, voice, and video.
  • SignalWire — SMS, voice, video, and PSTN telephony.
  • Anthropic — AI inference (AdaptGent) for voice transcription, photo analysis, and structured content drafting.
  • Google (Gemini API) — supplementary AI inference for audio and vision.
  • Stripe — billing, via billing.adaptensor.com.
  • Sentry — error telemetry and release tagging.
  • Resend — transactional email delivery.
  • Ably — real-time card synchronization across sessions.
  • Inngest — durable background jobs and retry orchestration.
  • OpenWeatherMap — weather data to auto-fill daily reports.

5. Retention

Active project content is retained for the life of the project and 7 years after project closeout (to cover construction warranty and lien-claim windows). You can export or delete earlier — see Section 8.

6. Security

  • TLS in transit, AES-256 at rest via sub-processors.
  • Role-based access control at the card level.
  • GPS attestation (opt-in per organization) on e-signatures, inspections, and reports.
  • Audit log of every state change on safety-critical cards.
  • HMAC-signed ecosystem bridges (AdaptBooks, AdaptDay) — we don’t rely on the network for authenticity.

7. SMS / Text Messaging

Providing a mobile number is optional. If you provide one and opt in at sign-up, we send account-related SMS — project notifications, safety alerts, daily-report reminders, assigned-task updates, and, for jobsite-safety and OSHA-compliance events, the always-on alerts described in Section 11 of the Terms of Service. Reply STOP to opt out at any time, or HELP for help. Message frequency varies. Message and data rates may apply. Consent is not a condition of purchase.

No mobile information will be shared with third parties/affiliates for marketing/promotional purposes. All other categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.

SignalWire is our SMS sub-processor and handles message delivery on our behalf. Your mobile number and the content of outbound AdaptBuild messages are shared with SignalWire strictly to deliver the messages you’ve consented to; SignalWire is contractually prohibited from using that data for any other purpose.

8. Your rights

  • Access / export: download a JSON archive of your personal data at /api/users/me/export (authenticated).
  • Delete: request account deletion at /api/users/me/delete. Organization-owned project content remains under your employer’s control unless they also request deletion.
  • Correction: edit your profile inline or email privacy@adaptensor.com.
  • Objection: you can turn off SMS notifications entirely (STOP reply) and Push (in Settings > Notifications).
  • GDPR + CCPA: EU and California residents have additional rights under their local laws — contact us at the address above to exercise them.
